Position Summary Information

Position Description:

This position provides administrative support to the NDFS Headquarters and will be responsible for record management of accounts payable; initiating travel vouchers and accounts payable vouchers; creating and maintaining multiple databases; and assisting with the administration of grant programs. Tasks include:

• Prepare and process AP Vouchers, travel vouchers and interdepartmental billings.
• Create and maintain databases for Administration Team Leader and staff.
• Create and maintain central filing system for organizational, program and financial records.
• Assist with annual reports and budget reports.
• Assist with inventory reports and provide reports to meet state/federal guidelines.
• Receive revenues, prepare deposits and post to appropriate funds.
• Maintain office equipment.
• Assist with computer hardware, software, email and Internet services.
• Process reimbursements for grant programs.
• Assist with developing annual budgets and work plans.
• Prepare and submit travel authorizations.
• Prepare purchase requisitions.
• Assist with fire reimbursement processes.
• Carries out the responsibilities of the Purchasing Card Administrator.
• Compose routine correspondence and meeting minutes.
• Compile materials for meetings, workshops and conferences.
• Make travel arrangements for personnel.
• Order and maintain office supplies.
• Maintain and update policy and procedure manuals and handbooks.
• Maintain agency’s monthly motor pool vehicle reports and post online.
• Assist with special projects as needed – e.g. conferences and workshops.
• Access PeopleSoft finance and human resources databases as necessary.
• Prepares bulk mailings
• Assists I&E Coordinator with educational activities and mailings.

Minimum Qualifications:

• Associate degree in business, accounting or related area, with two years of work experience directly related to administrative assistance skills including bookkeeping, office management, records management and computer software programs; or a high school diploma or equivalent, with a minimum of four years of directly related work experience.
• Excellent interpersonal skills and the ability to work with a wide variety of people.
• Excellent written and oral communication skills.
• Valid North Dakota driver’s license.

Preferred Qualifications:

• Experience working with PeopleSoft.
• Experience working with accounting and grants administration.
• Demonstrated emphasis on accuracy and details.
• Strong expertise and experience with Microsoft Office and accounting software.
• Ability to be a self-starter and work independently in a team setting.
• Flexibility, initiative and dependability.
• Strong organizational and prioritization skills, with demonstrated problem solving ability.
